Agro Q P.C. attaches particular importance to the lawful processing, security and protection of your personal data, in whatever capacity you cooperate or communicate with us (indicatively, as a prospective or active client, partner, employee, supplier, visitor of our website, or generally as an individual or third party who cooperates or communicates with the company). As Controller of Personal Data, the company undertakes to comply with the rules protecting the rights and freedoms of individuals with regard to the processing of personal data, in accordance with the General Data Protection Regulation 679/2016 (GDPR), applicable Greek legislation and the decisions of the Hellenic Data Protection Authority (HDPA).

Through this Privacy Policy, the company provides you with all relevant information regarding the use and processing of your personal data, as well as your rights as a data subject.

What are personal data and which personal data does Agro Q P.C. collect?

Personal data includes any information, in printed or electronic form, that may lead, on its own or in combination with other information, to the identification of a natural person.

Within the framework of its activities and transactions, Agro Q P.C. collects the following personal data:

  • Identity details, such as full name, father’s name, address [residential or electronic (email)], Tax Registration Number (ΑΦΜ), ID card number, Social Security Number (ΑΜΚΑ), telephone number (landline and mobile), etc.
  • Commercial and financial information, such as payment/billing details, professional details, bank account number, work address, details relating to previous transactions or commercial contracts/agreements, payroll, licences, etc.
  • Data relating to financial statements, tax details and tax information such as source of income, source of assets, etc., for the purpose of submission in technical approval files for programmes run by Greek public organisations and the European Union.
  • Supporting documents containing personal data submitted for the implementation of European programmes for the promotion of agricultural products.

We receive the above details from you in person or through your authorised representatives, within the framework of our business relationship. We may also collect and process personal data from publicly available sources, commercial registers, the press, the media and the Internet, which we obtain lawfully and are permitted to process.

Processing of special categories of personal data: As a rule, Agro Q does not collect or process personal data relating to your racial or ethnic origin, political opinions, religious or philosophical beliefs or trade-union membership, your genetic or biometric data for the purpose of identifying you as a data subject, nor data concerning your health, sex life or sexual orientation. By way of exception, the company may collect and process such data only if:

  • you have given your explicit consent for a specific purpose,
  • processing is necessary for the exercise of certain rights or the performance of specific obligations, either by our company or by you as the data subject (e.g. obligations and rights under labour law or social security),
  • the data have manifestly been made public by you,
  • processing is necessary to protect your vital interests in the event of physical or mental incapacity/inability to consent,
  • processing is necessary for the purpose of assessing an employee’s fitness for work (e.g. ability to operate machinery) or of raising awareness and shaping appropriate working conditions for persons with disabilities or special needs. If you do not provide the relevant information regarding disabilities or special needs, Agro Q P.C. will not be able to take the corresponding precautions,
  • processing is necessary for the establishment, exercise or defence of legal claims, both yours and the company’s,
  • processing is necessary for reasons of substantial public interest, taking into account the principle of proportionality.

Agro Q P.C. is entitled to collect and process your personal data:

  • either within the framework of our contractual relationship, where processing is necessary for the performance of the contract or prior to entering into the contract in order to take the appropriate measures,
  • or due to a legal obligation of our company as controller,
  • or following your explicit consent. Such consent must be given by a clear affirmative action on your part and constitute a freely given, specific and explicit indication of your agreement to the processing of your personal data. Consent may take the form of a written statement, including by electronic means, or an oral statement. Silence or inactivity is not regarded by us as consent.

For what purposes do we process your data?

On the basis of our contractual relationship, the provisions of the law, or your explicit consent, we process your personal data for the following purposes:

  • For the development, fulfilment and performance of the contract concluded between us. Indicatively, this includes communicating with you about updates or notices relating to the products or services for which the contract has been concluded, or processing your data to manage payments/invoicing, as well as any processing necessary to complete and perform the contract. Agro Q P.C. may use your email address to send you payment notices, information about changes to our services, and other notices and announcements relating to the company’s field of activity. In general, users cannot opt out of these communications, which are not marketing-related but are simply required within the framework of the relevant transactional relationship.
  • To support/serve you in relation to the company’s services/projects/products. Agro Q P.C. may collect or process your information to respond to your requests and queries, resolve any problems, inform you and respond to your suggestions and comments on improving our services, or to serve you quickly and in the best possible way at your next transaction/contact with our company. Agro Q P.C. may also invite you to take part in questionnaires and surveys. These questionnaires and surveys will generally be designed so that the answers do not require Personal Data. If you nevertheless enter Personal Data into a questionnaire or survey, Agro Q P.C. may use such Personal Data to improve its products and services.
  • To ensure the quality of our services or the internal operation of the company, e.g. to prevent fraud and other criminal acts, for the physical security and protection of persons and property, to fulfil the company’s legal obligations arising from the applicable legislative and regulatory framework, to manage the company’s information systems and to optimise security procedures.
  • For marketing purposes. We may process your personal data to inform you of services that may be of interest to you or your business. The personal data we process for this purpose consist of information you provide to us and data we collect and/or infer when you use our services. We may use your personal data to promote our services to you only if we have your explicit consent or if, in certain cases, we consider that we have a legitimate interest in doing so. You have the right to object at any time to the processing of your personal data for marketing purposes.

How long do we retain your Personal Data?

We will retain your personal data for as long as we have a business relationship with you [as an individual or in connection with our transactions with a legal entity that you are authorised to represent or of which you are the beneficial owner]. Once our business relationship with you has ended, we may retain your data for up to five (5) years.

For the personal data of prospective clients [or authorised representatives/beneficial owners of a prospective corporate client], we will retain your personal data for 6 months from the date of notification of the rejection of your request for cooperation with us.

Why must I provide my Personal Data?

As a general principle, the granting of any consent and the provision of any Personal Data hereunder is entirely voluntary. Generally, there are no adverse consequences for you if you choose not to give your consent or not to provide your Personal Data. However, there are cases in which Agro Q P.C. will not be able to act without specific Personal Data, for example because such Personal Data is required to provide our services or to serve our clients quickly and effectively. In these cases, Agro Q P.C. will unfortunately not be able to provide you with what you wish without your Personal Data.

How does Agro Q P.C. process my data?

Our company and its staff, trained in personal data protection matters, observe the processing principles set out in the General Data Protection Regulation 679/2016 (lawfulness, fairness, transparency, purpose limitation, data minimisation, accuracy, storage limitation, integrity, confidentiality and accountability).

In every case we take appropriate organisational and technical measures to ensure that your personal information is transferred, stored and processed in accordance with appropriate security standards and procedures and in accordance with the terms of this Policy and applicable data protection laws. The company has trained and responsible staff, and we recognise the importance of protecting privacy and all of your personal information. To this end we maintain appropriate security policies and use appropriate technical and operational tools, such as anonymisation, pseudonymisation, data encryption, the use of firewalls, authorised employees, staff training and periodic audits.

What are your rights when you provide us with your data?

Agro Q P.C. is committed to maintaining the confidentiality of your personal data and to ensuring that you can readily exercise your rights. You may contact us, free of charge, by sending an email to info@agroq.gr, stating the reason for your request and the right you wish to exercise.

Specifically, regardless of the purpose or legal basis on which we process your data, you have the following rights:

  • To request access to and to be informed about the data we hold about you (right of access).
  • To ask us to correct your data so that it is true and accurate (right to rectification).
  • To ask us to delete it, subject to the company’s obligations and legal rights, as described above (right to erasure or right to be forgotten).
  • To ask us to restrict processing in any of the following cases: (i) you state that the Personal Data the company holds is incorrect (but only for as long as Agro Q P.C. needs to verify the accuracy of such Personal Data), (ii) there is no legal basis for Agro Q P.C. to process your Personal Data and you require it to restrict further processing, (iii) Agro Q P.C. no longer needs your Personal Data but you claim that it must retain such data in order for you to assert or exercise legal rights or defend your rights against third-party claims, or (iv) where you have objected to the processing of your Personal Data, for as long as is required to examine whether our company has an overriding interest or legal obligation to process it (right to restriction).
  • To request to receive the personal data you provided to us in a structured, commonly used and machine-readable format, in order to transmit it directly to another legal entity without hindrance on our part (right to portability).
  • To object to the processing of your data where it is based on our legitimate interest. You may refuse the use of your Personal Data by Agro Q P.C. at any time by contacting us at info@agroq.gr. Following this action, Agro Q P.C. will stop using your Personal Data for the above purposes and will delete it from its systems, unless the company is permitted to use such Personal Data for other purposes set out in this Privacy Statement or establishes and demonstrates a justified, compelling legitimate interest in continuing the processing (right to object).
  • Right to lodge a complaint. If you believe that Agro Q P.C. is not processing your Personal Data in accordance with the conditions set out herein or with applicable EU data protection law, you may at any time lodge a complaint with the data protection authority of the EU country in which you reside or with the Hellenic Data Protection Authority. Furthermore, a refusal by the company or an unjustified delay in satisfying your requests when exercising your rights entitles you to apply to the Hellenic Data Protection Authority as the competent supervisory authority.

Do we share your data with third parties?

In fulfilling our contractual and legal/regulatory obligations, your personal data may be shared within the departments of our company. Various suppliers may also receive your personal data so that we can fulfil our obligations. These suppliers enter into contracts with our company, under which they undertake to maintain confidentiality and data protection in accordance with the GDPR. We must emphasise that we may disclose data about you for any of the reasons mentioned above, or where we are required to do so by law, or are authorised under our contractual and regulatory obligations, or where you have given your consent. All processors appointed by us to process personal data on our behalf are contractually bound to comply with the provisions of the GDPR.

To measure traffic we use a privacy-friendly statistics service that collects only anonymous, aggregated information, does not set cookies and does not identify individual visitors.
